Administration assistant H/F

MPLOY are recruiting for an Administrative Assistant to join a client based centrally in Salisbury. This is an exciting opportunity to build a career within an excellent company. Previous experience within Office Administration related roles is required in order that the successful candidate can be fully supportive of Administration duties within our clients Salisbury office.

Key responsibilities:


* Assist with the filing for the office:

* Label filing check and sort filing on a daily basis
* Filing recall system
* Printing of daily e-mails from the PCTS business to file
* Collect the filing from around the office


* Assist with the archiving function for the office. Duties to include:

* Log files on the database
* Log files into boxes for archiving
* Destruction of files (Compliance with GDPR legislation)


* When required provide support to the Reception function:

* Operate switchboard and announce and log all calls in a professional manner
* Adhere to the reception procedure and standards
* Meet & greet clients
* Monitor the Condeco meeting room booking service
* Organise refreshments as required for internal and external meetings
* Ensure reception area is kept tidy at all times
* Order couriers when required
* Any other reception duties
* Collate the movements for the office

Post - Internal and External

* Where required assist with the collection and distribution of post when required. These duties will include:

* Internal mail
* External mail - sort and frank mail
* DX - Sort and deliver to DX office
* Take parcels and special delivery letters to the post office

Other duties

* Monitor and order Kitchen supplies for the office
* Responsible for the recycling of the office
* Fire Warden responsibilities

Key Competencies:

* Use of IT: must have a good knowledge of excel and some knowledge of other software so as to be able to process documents efficiently and assist others. A willingness to improve is required.
* Judgement: knowing how to deal with problems that may arise.
* Planning and organising: A flexible approach is required to be able to organise his/her own time so as to meet deadlines and prioritise work.
* Written and verbal communication: good grammar and spelling required in order to produce documents and take messages accurately and quickly. Strong communication skills when speaking with individuals at all levels.
* Team work: to work well with other members in the department, flexible attitude to working hours during particularly busy periods. General willingness to assist with tasks outside of your normal day-to-day responsibilities.
* Customer Focus: Good customer service skills for both internal and external customers.

Candidate Profile


* Educated to at least GCSE level, or equivalent

Key Experience/Skills:

* Good computer skills with a strong willingness to learn
* Good knowledge of Excel (have a working knowledge of formulas and the ability to create and use spreadsheets)
* Exemplary customer service skills
